What we hold, and why.

Last updated 26 October 2026. SafeTrace Field is bound by the Australian Privacy Principles.

What we collect. Your account details (name, business, email), the job data, photographs and floor plans you enter, a record of what was done in each job (who did what, and when, never the content of a photo or a voice note), and technical logs needed to run the service. Payment details are collected by Stripe, not by us.

Why. To provide the reporting service, to support you, to bill you, and to keep the service secure. We do not use your job data to train AI models.

Client information in your jobs. You enter it as the operator responsible for the inspection. You are the controller of that information; we process it on your instructions.

Where it lives. Your jobs, photographs and floor plans are stored in Sydney, Australia. Sub-processors: Supabase (database, authentication, storage), Vercel (application hosting), Stripe (billing), and Anthropic (AI help, described below, when it is switched on). What Anthropic receives is processed by Anthropic and is not held in our Sydney storage; we do not choose where Anthropic processes it.

Voice notes. The microphone button uses your phone's own speech recognition, which turns your speech into text. On an iPhone that service is provided by Apple, and on an Android phone by Google, under their terms. We never receive the audio and we do not store it. The words go to our server only when you tap Get suggestions, and we do not keep them: what stays in the job is only what you tap to accept and then save. Do not say a client's name, address or phone number in a voice note.

Emailing a report. If you press Email to client, the report PDF, the verification link and your message are sent to the address you confirm, through our email provider, Resend. It is sent only when you press the button. We keep a record of the report, the version, the address and the time, never the message. Sharing the PDF from your phone does not use our email provider.

AI help. When it is switched on, three things can send content to Anthropic, and only when you ask: (1) a voice note, as text, with anything that looks like a phone number, email address or web address removed first; (2) one photograph at a time, when you tap Suggest from this photo; (3) the results, scope and laboratory details of a job, when a report draft is rewritten; the client's name and the site address are replaced by placeholders first and put back in the draft afterwards, but anything you type into the scope or the reason is sent as you wrote it. Voice notes and photographs go without the client's name, the site address, the job number or your business name. A photograph can still show things we cannot remove, such as faces, house numbers or number plates, so choose which photographs you ask about. The AI only makes suggestions, each marked as a suggestion for you to confirm. It does not decide results, say whether anything is present, or identify asbestos. We do not use your job data to train AI models, and we limit how many AI requests an organisation can make each hour.

Photographs. Your phone makes each photograph smaller before it is sent, and makes a small copy for lists. We keep a fingerprint of the file as it came off the camera so the stored copy can be tied back to it. The camera's embedded details, including where the photo was taken, are not kept in the smaller copy. If a phone cannot make a smaller copy, the file is stored exactly as it was taken.

Waiting list. If you ask to be told when a new trade is added, we record your email address, your organisation, the trade and your state, so we can tell you. You can remove the request in the app, or ask us to.

Verification links. A report's verification page shows the report number, client name, site address, inspection date and document hash to anyone holding the link. Share links carefully.

Retention. Issued reports are retained while your account is active and for 7 years after closure, consistent with professional record-keeping expectations, unless you ask us to delete them sooner.

Your rights. You can access, correct or export your data from the app, and ask us to delete your account through the contact page. Complaints may also be directed to the Office of the Australian Information Commissioner.
